Write so that your
reader can skim.

 

Here are some of the characteristics of effective emails identified by KCI program participants.

  • Purpose of the email and the action required of the reader - subject line and the first paragraph
  • Short and concise
  • No unnecessary detail
  • Preview or road map of major email sections
  • Use of headlines to mark major sections
  • Use of "white space" (area with no text) so the email doesn't look crowded or dense
  • Emphasize (bold, italics, underlining, all caps, etc.) important things to make them stand out
  • Readable font size
  • Use of simple language
  • Use of visuals (illustrations, tables, charts, graphs, etc.) to assist in understanding content
  • Correct mechanics (spelling, punctuation, grammar)
  • Eye-pleasing format and layout
